In many ways, reviews are the bread and butter of our business.  Travelers rely on reviews to make their final decisions.  Reviews create trust. 

The more happy reviews you have, the more competitive your vacation rental property will be. And that usually translates to more bookings and also being able to charge more per night.

So let’s dive in.  A little bit of knowledge can go a long way.

1.  Owner & Traveler Have Up To a Year To Be Rated

If neither the Owner nor the Traveler leaves a review, they each have up to a year to rate each other.

It seems unlikely that someone will leave a review after a month, much less a year.

But for some reason, if neither the owner or the traveler leaves a review, the VRBO reviews window stays open for a year.

2.  The Review Time Timespan Can Be Shortened To 14 Days

If either the Owner rates the Traveler or the Traveler leaves a review, the other party has 2 weeks to leave a review or rate the traveler.

After the 14 days, the window will close. The other party that did not rate or leave a review will lose their opportunity.

3.  VRBO Has A Double-blind Review Period

The Owner or the Traveler cannot see each other’s reviews or ratings until they submit their own review or rating.

After 14 days, the review or rating will become public, even if the other party didn’t submit their review.

If you forgot to post your rating, after 14 days you’ll lose your opportunity.

So, if you (the owner) submits a Traveler rating, and the Traveler didn’t submit a review, your review of the Traveler will post on the their profile after 14 days, and the Traveler loses their chance to review their stay.

4.   There Are Instances When A Traveler Can’t Leave A Review

A traveler cannot leave a review on the VRBO if they book through Expedia.

HomeAway/VRBO said they are working on this but as of this article that is still the case.

2022 Update: Recently we had a guest that came in from Expedia and they were able to leave us a review… but we couldn’t rate them! VRBO said they’re working on expanding that, but as of right now, when it comes to Expedia bookings – only the travelers can leave a review.

Additionally the VRBO reviews are moderated. If there’s something in the review that VRBO doesn’t like then the review will not post.

5.  VRBO Has An Extortion Policy

 If a Traveler contacts you and tries to get something in exchange for a review, or worse, threatens to leave a bad review if you don’t give them something… that’s called extortion.

Having your business threatened like that feels horrible (Ask me how I know that).  but it’s reassuring to know that HomeAway/VRBO has your back.

HomeAway has an extortion policy, if you feel like that is happening to you reach out to support and let them know. They’ll remove the bad review and ban the person from the platform – Nice!

Tips For Increasing Your VRBO Reviews!

These are the steps we take to get more reviews:

  1. Rate your Travelers, and they will automatically receive a reminder to rate their stay
  2. If after a couple of days there’s no review, send them another review request
  3. Still no review, send them one more a few days after that

Following this process will increase your chances of receiving reviews. Make sure to make the review request personal, lively and fun – and mix it up. Each review request in the series should be different.

You should have your review request messages setup as templates, that alone will save you a ton of time. No need to re-invent the wheel every time you ask someone for a review.

Yup it’s true, your cleaners will make or break your Airbnb business. They are the single most important members of your team.

Let me explain.

The biggest factor in a guest leaving a horrible review is ick factor.

Guests can be pretty lenient with many things, but a dirty house is not one of those things.

If an Airbnb host receives a terrible review because the house was dirty, that is the kiss of death for any new bookings.

Even if you do get a new booking, that guest will be on high alert for a dirty house.

And in life when you are looking for something… you find it.

So that bad review can lead to more bad reviews, killing any momentum you may have had before that first bad review. 

You Can’t Use A Regular Cleaner To Do Vacation Rentals

Now don’t worry! We’re not suggesting that you go out and clean the house yourself every time your guests check-out to make sure everything is perfect.

It’s more about what to keep in mind when selecting the right cleaners for your house.

We learned early on that a regular house cleaner would not be the right fit to clean a vacation rental.

Over time, we realized that we needed to find a team of cleaners that focuses on vacation rental hospitality cleaning.

Here are a few tips to help you find the right cleaners for your airbnb business and also what you can do to help the cleaners do what they do.

First Things First – What is Vacation Rental Hospitality Cleaning?

Vacation rental cleaners focus on hospitality cleaning for your short-term rental or AirBnB. They will consistently accomplish a set of tasks after every cleaning.

They’re more like the cleaners you find in a hotel than the cleaners in your personal home.

In your personal home you wouldn’t expect the cleaners to check inside any personal drawers or throw out leftover food in the fridge – that would be a big no no in your own home.

But that is what you’d expect from a hospitality cleaning.

After your guests check out, the cleaners, for instance, will inspect the house from top to bottom while they follow their regular cleaning check-list.

A vacation rental cleaning service is expected to check all of the drawers, closets, and cabinets, place everything back in its proper place. They’ll provide light maintenance, such as changing the TV remote batteries or a light bulb.

The goal for a vacation rental cleaning service is to have the same level of cleaning for every new guest that checks into your house.

It’s important to organize your vacation rental, that way all your guests have the same experience and it also help your cleaners get their job done faster.

Remember, when it comes to your vacation rental business, you’re only as good as your last cleaning.

What Is Part Of Their Routine?

When interviewing the cleaning service for your vacation rental, ask them what is covered in their routine cleaning checklist.

You can expect the standards to all be done, vacuuming, dusting, cleaning the bathrooms should all be standard.

Some cleaners charge additional fees for things like BBQ cleaning, linens, cleaning the pool deck, cleaning outdoor furniture, etc…

Other questions to ask are:

  • Do they provide soaps
  • How about toilet paper and paper towels
  • Do they use their own cleaning supplies

Once you know what they do or don’t do, it will help you better determine which cleaning service is the right fit for you.

Are The Cleaners Insured?

Make sure they are properly covered. Your cleaners will have full access to your house and, sometimes, your guests.

You want a cleaner that has their own insurance coverage in case anything happens while they are at your house.

The last thing you want is the cleaners to get injured while cleaning your house – and for you to be on the hook for it.

Is It The Same Cleaners Every Time Your Guests Check-Out

It’s okay to try out a few cleaning services, in the beginning, to figure out which one is the right fit for you.

In the end, you’ll want to consistently use the same cleaners so that they have familiarity with your house.

Your regular cleaning team will reach a point where they will enter your house, and they will be able to tell right away if there is something out of the ordinary or if something needs to be fixed.

Keep in mind that your cleaner’s feedback is essential to your vacation rental business.

Your cleaners, for instance, will be the ones who will give you the green light to return the damage deposit for the guests who just checked-out.

As short-term rental owners, we rely on their feedback to make a multitude of decisions, such as maintenance issues, restocking of supplies, etc.

A new cleaner may do a great job, but their lack of familiarity will affect a lot of valuable feedback that you’ll typically receive from your regular cleaners.

They’re still getting to know the house and learning how you like for things to be done around the house.

A Note On Management Companies

Using the same cleaners will be next to impossible if you use a management company for your Airbnb.

We tried with our houses but it never worked out.

Even when the management company assigns the same cleaning company to do our house there was simply no way for the management company to ensure that we’d get the same cleaners from that cleaning company.

We were 1 step too removed. That’s the main reason we started to use our own cleaners.

Provide A Picture Book/Checklist To Help Your Cleaners

It’s really helpful to create a house picture book with a checklist. It doesn’t have to be anything fancy.

Even a team of cleaners with intimate knowledge of your house can forget where certain items should to be stored or may even miss that something is missing.

Keep in mind that your cleaners probably do multiple houses, and every house may start looking alike, particularly when they are cleaning back-to-back.

To be honest, there are times, where we have walked into our vacation rental and forgotten where certain items were placed.

That’s the reason why we create a picture book checklist for our cleaners.

With it they can see what the house should look like and where everything should be placed.

Providing a picture book checklist will also save you time. They can reference it instead of having to call you every time they have a question.

The picture book and checklist are also great when you are starting off with a new cleaner know. It clearly lays out what they should be doing and how the house should look when they are done.

Cleaners Are Your Eyes & Ears 

In the process of cleaning, your cleaners become your eyes and ears.

They’ll let you know when there is wear and tear or if an item is broken and needs to be replaced.

We personally don’t go to the houses after every single check-out so without our cleaner’s feedback we’d really be left in the dark.

They let us know about everything that is going on in the house.

Something as simple as them letting us know that the tub is a little slow, gives us the heads-up to call the handyman to unclog it.

A slow drain isn’t a big deal if you address it right away. But it can easily become a yucky clogged tub for your next guest.

Managing Expectations

Cleaners have a very challenging job, especially when they are doing a back-to-back cleaning (a check-out and check-in on the same day).

We don’t expect them to clean behind the stove and dust the blinds on every clean.

These tasks would be more appropriate for a deep clean, which we schedule twice a year for our houses.

Make sure to let your cleaners know what you are expecting from them and how they can communicate with you.

Some cleaners provide pictures, some video, some call while others text.

There is no good or bad way of communicating, as long as you’re both on the same page.

You’ve done all of your research and selected quality linens for your short term rental guests.

Now, it’s time to start organizing your vacation rental linen closet

Not only will it help you keep up with your inventory but it will also help your cleaners more easily access the linens when cleaning your vacation rental. 

Organizing your linens will help both you and your cleaners easily see where everything is.

It will also help spot when you’re running low on inventory. 

The goal is for your cleaners to have easy access to what they need, when they need it.

When selecting a linen closet, we recommend, if possible, choosing a closet that will fit all of your linens in one place.

It should be locked and only accessible to you and your cleaners. We’ll cover why later in this article.

Here are 5 things you should keep in mind when organizing your vacation rental linen closet.

1. Compartmentalize & Label Everything

Based on the size of your closet, purchase the appropriately sized bins or containers to store your linens. 

Use the larger bins/containers for the fitted and flat sheets, each labeled by bed size, i.e. King, Queen, Full, etc. 

In the smaller bins/containers, place the pillowcases (King or Standard) and towels (bath, hand & washcloths).

Make sure to label everything!

It makes life so much easier, for both you and the cleaners.

We have this label maker for all the houses and it has helped a lot — we highly recommend it.

We’ve used it to label the bins, kitchen shelves, and light switches, hot & cold on the kitchen faucet. Basically, once you have a label maker you see reasons to use it everywhere. 🙂

2. Cleaner’s Instructions

The inside of the short term rental linen closet’s door is a great place for the cleaner’s Instructions. 

They don’t get in the way, and the cleaners can easily refer to them when they need to.

The instructions can include where to place the towels for the guests, how to set them up in the bathroom and the placement of the toiletries, etc…

In our vacation rentals, we print the instructions and then laminate them before posting them to the door.

We laminate all the signs we put up. It gives them a finished look and also allows them to last longer.

3. Stained Linens

In our previous post, 7 Tips For Keeping Your Vacation Rental linens Beautiful, we go over ways to handle stained linens.

We also suggest assigning a red laundry bag labeled “Stained Linens”.

In our experience, it’s common practice for cleaners to throw out stained linens.

To prevent that, we ask our cleaners to simply place sheets or towels with a tough stains in the red laundry bag.

That prevents linens from unnecessarily getting thrown out.

It gives us the opportunity to treat the stain with a spot cleaner.  95% of the time, we can get the stain out and put the sheet or towel back on rotation.

Every once in a while, we still have linens that go unaccounted for, but this system has helped reduce the frequency of linens disappearing.

Following this process, has given us a better handle on the linen inventory and saved us literally hundreds of dollars.

4. Keep Track of Your Inventory

Compartmentalizing everything in your short term rental linen closet helps both you and the cleaners get a birds eye view.   

It also sends a message to the cleaners that you are organized and able to keep track of things. 🙂

Once you finish setting up your linen closet, do a quick inventory.

Try to keep 2 sets of everything. This way, the cleaners will have plenty of back-ups.

We also have a hard set rule that once the house has been cleaned and ready for the guests, all unused linens must be placed in the locked linen closet in their respective bins.

Linens can get misplaced if left in an area guests have access to. The replacement costs can start adding up pretty quick, so it is essential to keep control of your linen inventory.

5. Prevent Clutter

By organizing your vacation rental linens in bins and labeling them in the assigned linen closet, it encourages your cleaners to put everything back where it belongs and keep everything neat.

These same systems can be used in your other closets, such as the supply closet.

The more you’re able to keep things organized in your house, the easier it’ll be for cleaners or handyman to do their work, and the smoother your vacation rental business will run.

Where Should The Linen Closet Be?

Newer houses that were designed to be a vacation rental will often have owners closets that were part of the house’s floor plan. If so it removes the guess work.

We have a vacation rental that was built as a vacation rental but it has a super tiny owners closet… I guest the builder never owned a short term rental. LOL!

We ended up using two closets as owners closets, one was strictly for linens and the other is for all the different back-ups of things. Remote controls, dishes, towels, light bulbs – those kinds of things.

One was a large closet in a bathroom, if you think about it, who needs a closet space in a bathroom when they’re on vacation?

The other closet we used as an owners closet was the large hall way closet. Again, how much of a need is there for closet space in the upstairs hallway?

Of course the larger the house, usually the easier it is to find a closet to dedicate to your stuff. If your STR is a studio, it’ll be much trickier to find space for your stuff.

Where To Keep The Linen Closet Key?

We have lock boxes installed out of site in the HVAC closets. Both lock boxes only have the keys to the linen and supply closets.

We have two lock boxes, it’s important to have a backup. That way, even if the cleaner misplaces a the copy of the first set of keys there’s still another pair in seperate lock box with a different code.

Keeping your vacation rental kitchen clean and organized is key to your guest having a smooth & pleasant stay.

We learned how important it was a few years ago, when we stayed in a vacation rental in the Outer Banks. 

It was one of the best family vacations we ever had.

One evening, we made a large fish dinner and used almost every single kitchen dish, pot & utensil available. 

After dinner, we washed all of the dishes and pots & pans, etc. 

When we started to put everything away, we realized that we had absolutely no clue where anything went. 

Picture 4 adults in the kitchen just staring blankly at empty kitchen cabinets, trying to figure out where everything should go.

We did our best to put things in the right place, but we’re pretty sure everything in the kitchen was completely rearranged.

The lesson we learned from that experience is that guests may have the best of intentions, but if you don’t tell guests where things go… they probably won’t remember.

Your goal is to organize your kitchen so that every guest will easily know where everything goes.

That way, all your guests will have a consistent experience when staying at your vacation rental.

For example,  if a guest asks you, “do you have an electric can opener?”, your response will be:

“Yes we do, it is on the bottom cabinet to the right of the stove” instead of “Yes, there should be one somewhere…?”.

1. Use Storage Shelf Racks

Use storage shelf racks to organize the dishes in your kitchen cabinet.

They look pretty and they maximize the space in your cabinets.

It also makes it convenient for your guests to put everything away.

Without the racks you end up with things piled up one on top of the other, making it hard to get any of the stuff that’s at the bottom.

2. Buy A Label Maker

As we’ve mentioned in a previous post, a label maker is a vacation rental owner’s best friend.

The label maker will definitely come in handy in the kitchen.

Once you’ve finished setting-up all of the dishes, plates, glasses, etc., label their location in the kitchen cabinets.

For instance, if you have “Blue Cups”, print the label and place it where you’d like to have blue cups placed. 

The same applies to everything else you have in the kitchen cabinets.

It’s simple and we found that guiding our guests with happy little labels helps keep the kitchen organized and provides a consistent experience for everyone that stays in the house. 

It will also help the cleaners know where to put things away.

3. Provide Dishwasher Pods, Kitchen Trash Bags, and Cleaning Supplies

Place dishwasher pods, kitchen trash bags, and cleaning supplies under the kitchen sink for your guests to use. 

In vacation rentals, guests clean & put away all the kitchen pots & pans, dishes & utensils after they use them. 

At check-out, they also empty the kitchen cabinets & refrigerator of any items they brought in with them and do a cursory clean of the kitchen counters and refrigerator. 

If you provide guests with the proper cleaning supplies, it makes it easier for the guests to properly clean the dishes, utensils, etc.  particularly before they check-out.  

You wouldn’t want your guests to run the dishwasher without detergent and then place those dirty dishes back in the kitchen cabinets, right?  Yuck!  Most of us would cringe at the thought.

Having cleaning supplies available at your vacation rental leads to cleaner dishes and a happier experience for everyone.

We recommend providing pods instead of the liquid dishwasher detergent for your guests.

That’ll remove the guess-work on how much to use and ensures your dishes will be clean correctly.

If you don’t have systems in place to extend the life of your linens, they can significantly increase your monthly costs.

Luckily with a few small tweaks, your linens will not only stay beautiful, but they’ll also last much longer.

1. Ask Guests To NOT Strip The Beds At Check-Out

Ask your guests to leave the beds unmade.  I know, it’s probably the opposite of what you’ve been told or thought, but when the sheets are on the bed, it’s much easier to see if there are stains

The cleaners will be looking out for the stains when stripping the beds and can pre-treat them before placing the sheets in the washing machine.

It’ll prevent the stains from setting in and also helps the cleaners know if any linens are missing. 

Take a look at tip 2 for what we use to pre-treat the stains.

2. Pre-treat Stains

Keep a spray bottle of OxiClean Laundry Stain Remover on top of the washing machine in the laundry room.

That way, the cleaners or guests (if they decide) can pre-treat stains before washing the linens.

Following this system helps prevent stains from permanently setting in and will save you money in the long run.

By following just this step, you’ll be replacing a lot less linens.

3. Wash Using OxiClean Instead Of Bleach

Don’t worry, this isn’t turning into one big OxyClean commercial, lol. We have plenty of non-OxyClean related tips below. 🙂

We find chlorine bleach is too harsh on the linens to be used in every wash.  Instead, we use oxygenated bleach (OxiClean).  It does an excellent job of keeping the sheets & towels white.

You can still use chlorine bleach once in a while, but we recommend not doing it too often.

Bleach wears down the linen’s fibers, which translates to replacing linens much more frequently – and we don’t want that.

Side Note: When choosing linens we’ve heard some people say they get dark colored sheets and towels to hide the stains.

Not a good idea! Stick to white linens.

Two reasons, first anything other than white linens give guests a bit of an eww factor.

Second,  if there are stains, white sheets can be bleached, colors can not.

4. Skip the Fabric Softener in the Wash

Fabric softener smells great, but it has oils in it that stick to the linen fibers and make the fabric less absorbent, almost water repellent.

And that’s not good when you are trying to use water to clean them.

Instead, use 1/2 cup of white vinegar in the rinse cycle. It’s a natural fabric softener that also removes any excess soap while it softens the linens.

An added perk, it’s also cheaper than fabric softener.

5. Provide Laundry Pods

Yes, it’s an additional expense, but guests love this perk.  The vacation rental business is all about standing out from the crowd.

Providing laundry pods is an inexpensive way to do that.

Besides, it’s not uncommon for a little one to have an accident.  🙁  Isn’t it nicer to have the guest wash the linens themselves instead of having them reach out to you or the management company to request replacement sheets.

Providing laundry pods is a win-win. In our vacation rentals, we use Kirkland Laundry Pods.

6. Grandma’s Secret Spot Remover

On occasion, you’ll get make-up, oil or a sharpie stain on your linens or blanket. 

Sometimes, it’s enough to use OxyClean Laundry Stain Remover,  let it sit overnight and repeat.  The stain will usually be gone after you launder it.

For more stubborn stains, we recommend Grandma’s Secret Spot Remover.  Recently, we had a very large dark blue sharpie stain on one of our comforters. We tried removing the ink with alcohol, which took care of some of it, but the darn thing wouldn’t go away.

We treated the sharpie stain with Grandma’s Secret Spot Remover, let it sit for 5- 10 minutes, rinsed by hand then repeated this process 3 more times until the stain was gone. 

We laundered the comforter, and it was saved.  😁  Of course, it may not work for every stain, but it’s our go-to for the really tough stains.

7. Have A Separate Red Laundry Bag for Stained Linens

We noticed that some of the cleaners would automatically throw away a stained towel or pillowcase. 

We ask our cleaners to place all stained linens inside a red laundry bag we labeled “Stained Linens”.

Every so often, we check the bag with the stained linens, treat the stains and we’ve been able to save the majority of the linens.

After adding the red bag to the process, the amount of linens we were replacing went way down, which helps our bottom line. 

Often, the small changes lead to big results.  😉

Yup, you read correctly – baby wipes.  They’re fantastic at removing stains from carpets, tile, walls, and just about anything you can think of.

Baby wipes are our go-to when we find a stain or marks around the house.

We always keep a few packages of Kirkland baby wipes in the owner’s closet for those last-minute cleanups.
